Pathology lab software price in India: a small lab's budget
What a small pathology lab should budget for cloud lab software in India, what must be in the price, the hidden costs to ask about, and how to compare quotes.

A small pathology lab in India should budget between ₹8,000 and ₹18,000, excluding GST, for cloud lab software in its first year, and between ₹6,000 and ₹12,000 a year after that, depending on whether it needs analyser interfacing and collection-centre support. Those are Pathixio's published prices; most vendors do not publish theirs, so compare scope before comparing numbers. Setup, training and support belong inside the price, not on a separate invoice.

All prices exclude GST. Above the fair-use limit, extra registrations are billed at ₹1 per patient for that month. Larger networks are quoted on request. The GST line will appear on the invoice at the prevailing rate, so the number you compare should always be the ex-GST one.
What must be included in the price?
A lab software price is only comparable if the scope is. The list below is what we think a small lab must get for the annual fee, and what to insist on in writing.
- Setup and configuration, including the lab's letterhead in the report designer and the digital signature block.
- The standard Indian test catalogue pre-loaded with editable reference ranges, so the lab does not type six hundred tests.
- Import of existing patient data from Excel or the previous software.
- Staff training, on site or remote, until the front desk and the bench can work without calling.
- Support during lab hours with a named channel, and a stated response time.
- Backups and hosting, with data stored in India and a written answer on how you get your data back.
- Updates, including new features and regulatory changes, without a separate upgrade fee.
- For a lab with machines: analyser interfacing. For any lab: WhatsApp delivery.
The last line is where quotes diverge most. Interfacing is commonly sold per machine as a one-time fee, and WhatsApp as a per-message pack. What are the hidden costs to ask about?
Beyond the software fee, budget for the items below. None is large, but all are real.
- A thermal label printer and a 2D barcode scanner for the main lab, and a printer per collection centre. Ask the vendor for the models they have tested.
- A serial-to-network adapter for older ASTM analysers, if the machine does not have a network port.
- WhatsApp message charges. Meta bills template messages per delivery, and rates change; read Meta's current pricing page and ask the vendor how the charges are passed on.
- GST on the software fee, at the applicable rate, claimable as input credit if the lab is registered.
- Per-machine or per-centre add-on fees, if the vendor charges them. Get the full list before signing.
- Data export at exit. It should be free; ask.
What should not be on the list is a charge for reading your own data or for a report format change. Both are signs of a pricing model built on lock-in.
How to compare two quotes
Two quotes rarely describe the same thing. The steps below bring them to the same page.
- Convert both to ex-GST. A price quoted inclusive of GST looks smaller than an ex-GST price for the same money.
- Add year one and two renewals to get a three-year cost. A low first year with a high renewal is not a low price.
- Add every add-on you will actually need: interfaces for your machines, your collection centres, WhatsApp delivery, extra users.
- Confirm what is included in writing: setup, catalogue, import, training, support, backups, updates.
- Ask where the data is stored and how it comes back. The Digital Personal Data Protection Act, 2023, on the MeitY site, makes the lab responsible for the personal data it holds, wherever the vendor puts it.
- Ask to see the letterhead report, a barcode scan and an analyser result on a live system before deciding.
The three-year, ex-GST, all-inclusive figure is the only one worth comparing. Anything else is comparing a brochure with an invoice.
When is Starter enough, and when Professional?
Starter fits a lab with one or two staff, manual result entry or a single semi-automated machine whose results are typed, no collection centres and under a thousand patients a month. It still gets barcodes, ranges and flags, sign-off, WhatsApp delivery, billing with dues and MIS.
Professional fits a lab with automated analysers it wants interfaced, a collection centre or a B2B client, more than three staff who need their own logins, or a plan to apply for NABL, where the audit trail and interface verification matter. Most labs that start on Starter move to Professional when they buy their first fully automated analyser, because that is the point at which typing results becomes the bottleneck.

Frequently asked questions
Is there free pathology lab software in India?
Free products exist, usually as a limited trial, an advertising-supported tool, or an open-source system that needs a technician to install and maintain. The cost moves from the fee to your time and to the risk of no support when a report will not print at eight in the evening. For a lab, a modest published fee with support is usually cheaper.
Why is the renewal price lower than the first year?
The first year includes setup, catalogue loading, data import and training, which are one-time work. Renewal covers hosting, backups, support and updates. Publishing both numbers matters because a vendor that quotes year one and negotiates year two has not really published a price. Ours are on the product page and in the contract.
What happens if we cross the patient limit?
Nothing stops. The fair-use limits are 1,000 patients a month on Starter and 3,000 on Professional, and registrations beyond that are billed at ₹1 per patient for that month. A lab that crosses the limit every month is better off on the next plan, and we will say so rather than let the overage accumulate.
