Renewal tracking: stop losing AMC and subscription revenue

Renewals are the cheapest sale you will make and the easiest to miss. How to build an expiry list, run reminders, collect dues and upsell at renewal time.

Renewal tracking means knowing, for every customer, when their licence, subscription or annual maintenance contract expires, and contacting them before that date rather than after it. A renewal is the cheapest sale a business makes, because the customer is already using the product. It is also the sale most often lost by silence.

How does renewal revenue leak?

Nobody decides to let a renewal lapse. It happens because the expiry date is in an invoice PDF from last year, the salesperson who sold it has moved on, and the customer assumes someone will call. When nobody calls, the software stops working or the AMC quietly ends. Then the customer calls, annoyed, and you are negotiating from a weak position.

  • Expiry dates recorded in invoices but not in one list that anyone looks at.
  • Reminders sent to the customer but not tracked, so nobody knows whether they were read.
  • Renewal invoices raised and then forgotten, so the dues list and the renewal list disagree.
  • Customers with several products, each expiring on a different date.
  • Renewals handled by whoever is free, so the customer speaks to a stranger.

What should the expiry list contain?

The list is the whole system. If you build nothing else, build this. Every customer with an annual product gets one row per product, and the row carries the fields below.

When should reminders go out?

Three touches before expiry and one after is a reasonable pattern for annual products. The gap between touches should shrink as the date approaches.

  1. Well before expiry: a friendly message that the renewal is coming, with the renewal amount and what is included. No pressure yet.
  2. Closer to the date: a call from the assigned user. This is where questions about price, features and problems come out. Record them.
  3. The week of expiry: the renewal invoice and a clear message about what happens on the expiry date.
  4. After expiry, if unpaid: one more contact, then a decision. Extend on good faith for a known customer, or let it lapse and record the reason.

Reminders on WhatsApp work well for the first and third touches, but a message sent more than 24 hours after the customer's last reply must use an approved template, and template messages are charged per delivered message by category. How do renewals connect to dues?

A renewal that is quoted but not paid is a receivable. A renewal that is paid but not recorded is a support ticket waiting to happen when the licence stops. The renewal list and the dues list must be the same data. When the renewal invoice is raised, it should appear in the party's statement, and when payment arrives, both should update at once.

Renewal is the moment to upsell

The customer is already on the phone and already deciding to pay. That is the time to mention the extra user, the add-on module or the higher plan, because the decision is incremental rather than new. Keep the offer specific and tied to something they said during the year. A support ticket from six months ago about a missing feature is a better opener than a price list.

Do not bundle the upsell into the renewal invoice without asking. A customer who feels the renewal price has crept up will look at alternatives. Quote the renewal at the agreed price, and quote the upsell separately.

What to measure every month

  • Renewals due next month, by amount and by assigned user.
  • Renewals paid on or before expiry, as a count.
  • Renewals lapsed, with reasons.
  • Days between expiry and payment for late renewals.
  • Upsell value added at renewal.

If lapsed renewals carry no reason, the report is incomplete. Price, moved to a competitor, business closed, and no response are the usual four. Each points to a different fix.

Frequently asked questions

How early should I remind a customer about an AMC renewal?

Early enough that the customer can budget and you can answer objections before the date. For an annual contract, a first message several weeks before expiry, a call closer to the date, and the invoice in the final week is a sensible pattern. The exact days matter less than the reminders being consistent.

Can renewal reminders be automated?

The reminder to your own team should be automatic, based on the expiry date. The first message to the customer can be automated through an approved WhatsApp template or email. The call before expiry should be a person, because that conversation surfaces the problems and the upsell. Automate the schedule, not the relationship.

What if a customer has several products expiring on different dates?

Offer to align them at the next renewal by pro-rating one product to match the other's date. One renewal conversation a year is easier for both sides, and one invoice is easier to collect. Until then, track each product as its own row on the expiry list with its own reminders.
